Document Storage for Organizations

This week’s release will be available to associations on Wednesday, March 31st. The release includes an exciting update to Daxko Document Storage and an update regarding the Daxko Schedule a Visit feature. Both of these items affect all Daxko Operations associations.

Document Storage for Organizations

In our continued efforts to expand Daxko Document Storage, all associations may now store documents for organizations. This allows for associations to maintain digital records of corporate reimbursement agreements, organization sponsorship packets, and any other documentation that is pertinent to the organization’s relationship with an association.

This expansion includes new permissions, updates to the event log, and a totally custom set of document types for organizations for associations with full access to Daxko Document Storage.

Schedule a Visit Available for All Associations

Last Summer, we offered beta access to a new Schedule a Visit feature that allows associations to accept online reservations for areas of the facility, check members into specific areas within the facility, and track capacity across all areas. This feature was originally intended to be a part of Daxko Scheduling, but we wanted to allow beta access to all associations to gain valuable feedback, support capacity restrictions, and provide a solution for member reservations.

After nine months and eight releases to enhance this feature, we are now offering Schedule a Visit permanently to all associations with access to Daxko Operations!

Here are some fun facts about the Schedule a Visit feature:

  • 615 Daxko Operations associations have used the Schedule a Visit feature since its release
  • 460 associations used Schedule a Visit in February 2021
  • More than 61k unique individuals have used the Schedule a Visit online page to make a reservation

We know that many associations are either currently under capacity limitations or will be in the near future. We want to partner with you to continue to provide tools for your staff and members to lessen the impact of these restrictions on the overall experience.

Restrict Memberships on Hold from Member Registration Pricing

This week’s Daxko Operations release includes a new setting to control program and child care pricing for memberships on hold. Please review each of the enhancements below. This release will be available on Wednesday, March 17th.

 

Program Pricing for Hold Memberships

Associations are currently experiencing very high volumes of memberships on hold, and many are also releasing Spring and Summer programming. This means that those memberships on hold are still able to register and receive member pricing. While some associations have policies for this to work as it does today, other associations require that a membership be active in order to receive a member-level price when registering for programs in the child care and programs modules.

This release includes a new setting in Membership > edit Membership Type > General Information that allows associations to choose which experience matches their association’s policy.

 

If a program allows non-member registrations, any membership on hold with this setting checked will be charged the non-member price. If a program only allows members to register, any membership on hold with a membership type that has this setting checked will not be able to register for the program.

Upon release, this setting will be unchecked so that the experience works as it does today. However, if your association would like to make this change to a list of membership type, checking this new setting updates in real-time for any registration after you select save.

New Document Storage Dashboard in Daxko Accounting

Daxko Accounting release 21.2 available 2.17.2021 in your live site includes new features that help your Accounting department move one step closer to paperless!

Our newest addition to Document Storage is a Document Center Dashboard that provides full functionality for you to manage, download, archive, and delete documents in a central location. Your association still has free access to Document Storage in Daxko Accounting for up to 99 uploads/month with NO contract. To allow uploads of more than 99/month please contact sales@daxko.com

What is the Document Center Dashboard and Where Can I Find It?

The Document Center Dashboard becomes your association’s central hub for managing documents in Daxko Accounting. Whether you have uploaded documents to Invoices, Manual Journal Entries, or Vendor Records, your attachments will be easily accessible to you.

The Document Dashboard is accessible through the system menu in Daxko Accounting.

All files uploaded in AR, AP, General Ledger, and Vendor Records will be accessible to you.

Preferred Name and Semi-Private Scheduling

This week’s Daxko Operations release includes the preferred name functionality mentioned in our last release, as well as semi-private scheduling. Please review each of the enhancements below. This release will be available on Wednesday, February 17th.

 

Preferred Name

We know that associations often need the legal first name of a member for vital safety and security processes, but also wish to address each person by the most appropriate name. Many associations have requested this functionality, and in this release we are adding a value for preferred name to the Daxko Operations Live Site.

Preferred Name will be captured from the Membership Information page on the member tile. Additionally, members may update their preferred name online.

Once the preferred name is added, we will display this value in the following areas:

  • Rapid Check In
  • Check In
  • Online Member Account

We will be adding preferred name to essential locations throughout Daxko Operations in future releases. This includes areas such as rosters, reports, and search fields.

 

Semi-Private Scheduling

For Daxko Scheduling associations, you may now begin creating program packages for two person and small group personal training, sports lessons, private swim, etc. This is available for staff to book as well as members.

To indicate that a program package is available for a buddy or group to schedule, we have added a new setting on the Appointments step.

 

 

When a participant schedules a time for a package that has a buddy or group setting, the time and day selected will be locked down so that only participants with the same package will be able to book that day and time.

Child Watch Reservation Counts and Member Preferred Name

This week’s Daxko Operations release includes an update to Child Watch, and an exciting release to the Training Site for a new preferred name section. Please review each of the enhancements below. This release will be available to all associations on Wednesday, February 3rd.

 

Child Watch Updates

With most associations requiring reservations for child watch, we have added new insights to the Daxko Operations Child Watch feature for upcoming reservations. User will be able to see the next three time slots and the count of reservations for each. Additionally, users will be able to see if a member that is checking in has a reservation prior to entry.

 

Preferred Name – Training Site

We know that associations often need the legal first name of a member for vital safety and security processes, but also wish to address each person by the most appropriate name. Many associations have requested this functionality, and in this release we are adding a value for preferred name to the Daxko Operation Training Site. We plan to add this value to your Live Site on Wednesday, February 17th. This allows two weeks for you to adopt any internal process changes prior to the roll out.

Preferred Name will be captured from the Membership Information page on the member tile. Additionally, members may update their preferred name online.

Once the preferred name is added, we will display this value in the following areas:

  • Rapid Check In
  • Check In
  • Online Member Account

 

API Call for Virtual Check In

For those associations that wish to count a log in through the API as virtual facility usage, we are adding an API call that allows associations to send a check-in record back to Daxko Operations. These check-ins will be includes in facility usage for Virtual Branch – Virtual Area. The documentation will be updated along with the release, so please reference the API Call in documentation to learn more.

New Permissions for Fundraising Notes

This week’s Daxko Operations release includes an update to Fundraising Notes, as well as several other items which may impact your team. Please review each of the enhancements below. This release will be available to all associations on Wednesday, January 20th.

 

Fundraising Admin Notes

In the Fundraising module, the Note Types will now include a setting for if the note is only accessible to admins.

This new setting is available to users with the permission in the Fundraising section “Admin Note.”

 

When a user has this permission, the user will be able to see Admin level notes within a Membership’s donations. Without the permission, users will only be able to see note types that do not have the Admin setting selected. Upon release, all Fundraising note types will have Admin deselected.

 

Organization Tax Statements

Previously, the primary contact for an organization was listed on the tax statement. In response to several of your requests, this tax statement now shows the organization name.

 

Online Member Account

In December, we released major updates to the online member account. This included the ability for a member to request a Hold or Termination online, generating a notification email to staff. With this release, any association that allows members to submit those requests online will be able to monitor them using the event log.

 

Campaign Notification Emails

This release includes an expansion to the amount of notification emails that may be listed for a campaign. Previously, only three or four email addresses would be allowed per campaign. We now allow space for at least ten email addresses per campaign.

 

 

Converted Donations Summary Report

To assist associations with reporting for converted fees and payments to donations, we now include contact information in the report’s export on the Converted Payment Details tab.

 

Topaz Signature Pads

Associations that use the Topaz Signature Pad to capture signatures for Daxko Operations Agreements may have recently received an email from Topaz. Their company has an update to the device certificate, and updating this may be necessary for the device to properly function. You may read more HERE.

Document Storage in Vendor Records and new 1099 Forms

Included in Daxko Accounting 21.1 we have included revised tax forms and updates to Document Storage, and removal of Flash Player for printing.

Updates to tax forms include the new 1099-NEC tax form, updates to the 1099-MISC, and 1096 tax forms. Learn more about these IRS tax forms here.

We introduce the ability to attach documents to a vendor record. This exciting new addition to Document Storage will allow your association to keep a tighter record on insurance certificates, W-9’s, and any other important pieces of record for your vendors. Make your audits a breeze with storing these records within Daxko Accounting.

We certainly don’t want you to supplement your home office with file cabinets and having messy dining room tables littered with invoices and Purchase Orders! Keep all those records safe by saving them to your desktop and giving them a new home in Daxko Accounting. Storing these files has never been easier by using our drag and drop functionality.

Updated Activity Tab!

In the previous Daxko Engage release, we introduced updates to the new Activity page, formerly known as Tasks. With today’s release, we’re bringing back the tab that displays recent interactions with people. Now this tab will also include recent tasks and text messages – all with a fresh new look.

In the updated Activity Tab for people, all Daxko Engage users can see the 10 most recent interactions with active and inactive members as well as prospects.

New Activity Page + More

This Daxko Engage release contains fresh updates to the Tasks page, plus a few other items to round out the year.

Updates to “Task” Page – Now Called “Activity”

The Activity page is where many users do their work following up with members and nonmembers through tasks. It is also where users get an at-a-glance view of the people they’re engaging with. With this release and with future enhancements in early 2021 and beyond, we will be expanding functionality on this page. We’re working to give you more ways to connect with your community and greater control over how you work through tasks and other activities.

With this release, all Daxko Engage users can select Edit on a task to reassign the task or reschedule the task. Users can select a rescheduled due date within a specific number of days or for a specific date. Rescheduled due dates can either be earlier or later than the original due date – just as long as the new date hasn’t passed.

Also part of the updated Activity page is a new History tab. With this tab we have combined completed tasks and logged in-person conversation notes, which previously were two separate tabs.

Other Items Included in This Release

This release also includes a few additional items and bug fixes:

  • Fixed: Group Rules now pulling in prospects with “All Branches” selected in Daxko Operations. Previously, prospects entered via a Daxko Operations online form associated with “All Branches” were not displaying properly in Daxko Engage.
  • Archiving Old Email Data: In an effort to make the Email Analytics display reports more quickly, we will begin archiving email data older than 2 years. Email activity older than 2 years will no longer be accessible through the Email Analytics report.

New Member Online Account + Trial Memberships and so much more!

This week’s release will be available to associations on Thursday, December 10th. The release includes several major enhancements to Daxko Operations, so please be sure to read each section. Many of these items have been available on your Training Site, and we are excited to add them to your Live Site.

New Member Online Account

As we announced on November 17th, we have created a new experience for members online. This experience is built with the mobile-experience as a priority and includes multiple self-service options to improve access for members and reduce manual work for staff users. This release includes:

  • New Account Experience
  • Facility Usage Report
  • Payment History Report
  • One-step Credit Card Updater
  • Holds and Terminations Request

Trial Memberships

Most associations have offered Guest Passes for individuals wishing to try out the membership experience, but often these are difficult to track and very manual. We have created a new Trial Membership sign up experience that each association has the option to enable. Here are a few highlights:

  • Custom number of days for the Trial by Branch
  • Online form with minimal Required Fields
  • Check-in capabilities with Temporary Barcode
  • Quick reporting to run Communication Initiatives

Document Storage for All

On September 30th, we hosted a webinar announcing our new Document Storage feature for Daxko Operations and Daxko Accounting. Within one month we launched 50+ associations on this valuable feature and received incredible feedback and enhancement suggestions. This release contains those enhancements, and also will allow access for all associations to our free tier of document uploads – 99 uploads per month!

Scheduling Program Packages

On November 11th, we add our Scheduling Program Packages functionality for all associations to test drive on the Daxko Operations Training Site. Thank you all so much for your positive feedback, and please keep sending in those ideas for future enhancements! With this week’s release, associations that have added Scheduling to their Daxko Operations site will receive this full release on the Live Site.

Digital Analytics

We know that insights into the online experience for your members are critical for your team. The Daxko Team has worked closely with a group of early adopters to extend our digital analytics offerings, including full cross-domain tracking.

We have documented all that your website development team needs to know in this folder containing our Digital Analytics guides.

As a reminder, Daxko Operations is able to provide data and tracking for the unique identifiers provided by the following digital analytics tools:

  • Google Analytics
  • Google Tag Manager
  • Facebook Pixel
  • Hotjar

Associations may contact support@daxko.com to provide the unique identifier if the association has not already done so.

Additional Enhancements

We do have several other enhancements to highlight for this release:

  • Event Prospect Forms – With this release we have also added a new way to configure prospect forms used for events. Now, when creating an Event form under Manage Forms, users will have the ability to select the specific event that the form entries are associated with. This will help your team better report on your event prospects and, if you use Daxko Engage, allow you to create more targeted follow-up communication to your prospects. As a reminder, manage prospect events here: Membership > Prospects > Events.
  • Removal of Microsoft Silverlight from Photo – With Microsoft’s end of life for Silverlight announcement, we have removed the Scan Image option and have replaced it with the same Take a Photo option associations have access to on Membership Information. Our data shows that only a few associations have been using the Scan Photo option in the last six months, but we want to highlight that here in case an association has questions about this change.
  • Termination Alerts for Full Service Billing – Any terminations executed by the Daxko Full Service Billing Team from the Returns Manager will now display an alert on each terminated (or scheduled to terminate) membership’s information page.
