Monthly Program Packages are here!

Growing memberships is an important goal for every organization we talk to. We often think of growing memberships as increasing membership counts, but we can also grow memberships by expanding memberships themselves. Building reliable recurring revenue will not only increase membership revenue, it will also increase the accuracy of budgeting and staffing.

New monthly recurring program packages allow program packages for personal training, swim lessons, sports lessons, and more to be added to a member’s monthly membership draft.

This week’s release will be available to associations on Wednesday, July 21st.

Monthly Recurring Program Packages

Associations may now create new program packages or edit existing program packages to offer a monthly recurring rate for memberships. Once available, these program packages may be added to any member’s monthly membership dues. For example, if you offer personal training as a monthly membership add on, a member can receive the number of sessions at your selected price to be redeemed each month.

When a member opts to add on a monthly package, Daxko Operations will assist staff with a prorate option until their first full month. Once set up, the membership will draft for the base membership price plus the program package price in one charge to their credit card or bank account. Daxko Operations will generate these dues automatically as the system currently does for membership dues. Should a member wish to no longer include a monthly package option, staff may remove the recurring package at any time.

Daxko Scheduling: 15-minute Start Times

For associations already using Daxko Scheduling, you may now with this release have the option to allow sessions to be scheduled to start at fifteen minutes, thirty minutes, and forty-five minutes past the hour.

To allow this new option for your package setup, please contact support@daxko.com. Once this is enabled, users will navigate to existing package options and change the setting indicated below:

Multiple Agreements and Expansion of Preferred Name

This release contains a few updates to recently released functionality based on user feedback. These changes will be available for all associations on Wednesday, June 23rd.

Capture Multiple Agreements

Users may now capture multiple agreements for a member using the “Capture Agreement” option (Membership > Membership Information > More > Agreements). All the Active agreements will be listed in the “Agreement Name” field, and users may select multiple agreements to obtain one signature for the selected list rather than multiple signatures.

Preferred Name Expansion

Membership Information screen (Membership > Membership Information) now displays “Preferred Name” on the left panel containing each member within the unit.

This addition is part of our expansion of preferred name to better personalize the experience for your members and participants. Next up: we are exploring search capabilities throughout Daxko Operations to make it easier to find members and participants with their preferred name.

Member SMS Opt In

For those associations using our SMS capabilities, the member online account now includes a check box for opting in and out of SMS communications. The member or participant can select the check box to confirm the Opt In for the SMS. By default, the check box will remain unchecked.

New Group Rules for Holds, Program Packages, and more

How you communicate with your community is always changing. Because of that, we’re always looking to provide better ways to segment your members with Groups in Daxko Engage. With this release, we’re introducing new group rules, including criteria for hold dates and hold reasons, program packages, as well as enhancements to existing program registration group rules.

Group by Hold Dates

When you’re communicating with someone who has placed her membership on hold, it’s important to provide clear information about what she can expect to happen and when. Now in Engage you can create a list of on-hold members based on past or future hold dates.

Group by Program Packages

Whether it’s personal training or private lessons, program packages have become appealing offerings for your community. Now in Daxko Engage, users can create groups based on program package registration.

Users will also have the option to define Remaining Session Criteria. Choose either less than or equal to or greater than or equal to and set the number of remaining sessions to create targeted lists for email reminders to members who may be nearing their final package session or for promoting another package altogether.

Updates for Check-Ins

This release contains a few key changes following our Updated Check-In Experience release on April 29th. We love receiving feedback from all of you on recent releases, including times when we realize a change we made needs some additional work to maintain your association’s positive member experience. These changes will be available for all associations on Wednesday, June 9.

Welcome Sound for Check-In

While the Rapid Check In page has never contained a welcome message for successful check ins to limit sounds, many associations previously relied on the welcome message when using Membership > Check In. While the previous sound effect needed an update, we acknowledge that a sound effect is important. Upon release, users may navigate to System Menu > Device settings and move the Welcome sound from none to the newly released successful check in sound.

Note: We are exploring more sound options for all of the check in scenarios on the device setting page. Stay tuned for more updates, and share your thoughts with us any time through the Daxko Help Center.

Event Log for Check In Reversal

The expansion of check in functionality surfaced a need for existing functionality. We received several requests for better auditing of the reverse check-in action. This release includes a new event in System Menu > Event Log that tracks the reverse check-in action from either check-in experience.

Reporting Enhancements in Daxko Accounting!

You have long asked for enhancements to reports in Daxko Accounting. We are happy to deliver some new features within our canned reports that allow you to better manage your business and report on your financials!

Daxko Accounting Release 21.4 includes the below enhancements for your reporting needs. This is only Phase 1, more enhancements are on their way!

New Enhancements for Daxko Operations Submitted by You!

This release contains enhancement requests submitted by users through the Daxko Help Center! We love all of the great suggestions that are submitted to our product team. These changes will be available Wednesday, May 12th.

Here’s an overview of the awesome value added to Daxko Operations with your help:

Child Care and Camp Registration Start Time

In order for associations to customize the registration process, child care and camp programs now include registration start times. There are two time options: in-house and online start times. By default, existing programs will have start times set to midnight and associations may edit to a time that works best. For camp programs, all instances will open registration based on the time set at the program level.

Any changes to these times will be captured in the event log under the existing event “Child Care – Program Edit Reg. dates and fees.”

Sign Agreements from Membership Information

Many associations have had an increase in the need for capturing agreements for updated policies. This has surfaced a need for allowing all agreements to be captured for a member directly from the membership information page. To begin, users will navigate to Membership Information > More > Agreements. At the top right, users will select Capture Agreement.

Next, users will select the member and the agreement that needs to be signed. This will launch the agreement process and the member may sign or type their name depending on the agreement settings. Note: Only one agreement may be selected at a time.

Waiting List Indication for Registrations

For staff in house and members online, it is crucial to make it clear when a member is registered for the waitlist and not yet on the roster. We have added a new indication when one or more instance is waitlisted for a member. Staff can see the details of which instances are waitlisted by navigating to the details of the registration. This is the same design that members will experience in the online account on the Registrations page.

Event Log Updates

We have one made one small change to the existing event “Child Care – Program Camp Instance Update” by adding the camp program name prior to the instance name in the description. This will assist associations auditing changes to camp programs.

Guest Check Ins, Agreements Enhancements, and more!

This week’s release will be available to associations on Thursday, April 29th. The release includes several major enhancements to Daxko Operations, so please be sure to read each section.

Guest Check-Ins

We know that more than ever associations need a way to accurately track everyone in the facility. Whether it’s for security reasons, contact tracing, or general information for business decisions, it is necessary to have a full list beyond your facility members. Also, a head count doesn’t include vital information about contacting the individual, nor does it provide enough information for security screenings for guest pass holders or program participants. With this release, we are introducing a better way to record guests in the facility, including:

  • Per Membership Type Setting for Guest Check-Ins (including inactive / Non-Member memberships)
  • Updates to Rapid Check-In and Check-In
  • Full reporting of all check-ins

Agreements Enhancements

You all have given us great feedback on ways to enhance the Agreements functionality in Daxko Operations. With this release we have added a way to:

  • Assign membership agreements at the membership type level
  • Make agreements no longer in use inactive to reduce the list of agreements

Updated Check-In Experience

As so many of you are in the reopening stages now, we thought it would be a great time to introduce better sounds to the check in experience! We have also included some fun visuals on rapid check in for members with a birthday or anniversary.

To learn more, check out the User Guide. Also, please note that the sounds in Daxko Operations that were available prior to this release will be removed within a month.

Schedule a Visit Updates

We have added an enhancement in this release for associations to indicate by area what a non-member may reserve online.

 

Custom Reports Subscriptions

With increasing data security needs, we will begin restricting subscription emails for Custom Reports to those email domains that match the domains each association has approved in Online Settings. This change will take effect on Friday, May 28th.

This means that any current subscription scheduled to send to @gmail.com, @yahoo.com, etc will no longer receive data files attached to automated emails out of Custom Reports after that date. Users will still be able to use these email addresses for other functions. This will allow us to prevent important PII data from sending directly to an unknown email address. Associations wishing to send data to a third party or individual will need to have those arrive in their association email domain first before forwarding the data on. Note: Approved data files that currently send to Y-USA through email will still be supported.

New! Pay the Day Promotion

This week’s release will be available to associations on Wednesday, April 14th. The release introduces new functionality for associations who wish to use a Pay the Day promotion for membership joins. It also includes an update to a frequently used Fundraising report.

Pay the Day Promotion

We found in recent research that over 400 associations have used or are currently using Pay the Day promotions to reduce the payment at the time of join to only the amount matching the current date ($14 on the 14th). And with all of the success from our promotions updates released last year, this particular promotion is still quite cumbersome to automate in Daxko Operations. With this release, we are introducing branch-level settings to run the Pay the Day promotion with minimal user actions required.

We are very excited to learn about this new functionality with all of you running Pay the Day promotions during the month of May. We are all ears for your feedback, and we know that this opens the door for additional enhancements in the future.

Pledge Amount Summary Report Additions

With this release, we will be adding the Pledge Section and Pledge Source to the export of the Pledge Amount Summary. This allows greater sorting options for associations using these values to label and track various donation purposes.

Performance Analytics Update

In case you missed it, we recently released updates to our Quick Hits dashboard in Performance Analytics. The Quick Hits dashboard was designed to quickly and efficiently convey to you the health of your business compared to last reporting period. With the last reporting period greatly affected by Convid-19, we have added the 2019 data to the high level KPIs within this dashboard. This will allow you to compare this year’s “new normal” against your 2019 “normal” results.

Custom Document Folders in Daxko Accounting and More!

Document Storage Enhancement

Daxko Accounting release 21.3 contains the latest iteration for Document Storage. Custom Folders give the user the ability to create and manage their own folders within the Daxko Accounting Document Center Dashboard. Custom Folders is a feature of clients with a Document Storage contract and is not available under the free tier.

Your association still has free access to Document Storage in Daxko Accounting which includes the Document Storage Dashboard for up to 99 uploads/month with NO contract. To allow uploads of more than 99/month and to enable the Custom Folders please contact sales@daxko.com

This release also contained updates to non-financial reports in Daxko Accounting. These updates will allow you to more efficiently find the invoice records that you are looking for.
