Exciting Updates to CAU

The proactive Card Account Updater is a service that regularly verifies and updates your members’ stored billing methods with the most recent credit card information on their account. This assists you and your team in avoiding returned credit card payments and the subsequent collections process that those returns initiate.

There occasionally are scenarios where a credit card expiration date is automatically updated for what shows as the current expiration via CAU but an expiration date even farther out is available to your constituent, possibly from a recently issued card. For example, the Smith Family’s credit card is set to expire in August 2019, the expiration date in their Daxko Operations account is August 2023, and the CAU process is set to update the expiration date to August 2021. In the past, the CAU process would win out, updating the expiration date to August 2021. However, we are now able to honor the expiration date farthest out in the future (August 2023) for the Smith Family.

This change will take effect this week on Wednesday, August 14th.

Rate Plan Report Added to Daxko Operations

In the last year we have placed a heavy focus on child care and camp enhancements to allow for efficient and user-friendly setup and management of programs. This release contains a new report that many of you have requested – a Rate Plan Report! This will be available to all customers on Wednesday, August 7th.

Rate Plan Report

This new report is located in the Child Care module and will export all of the setup details for rate plans using a set of filters. This report is valuable for:

  • Staff audits to ensure proper data entry and setup
  • Research of rate plan configuration
  • Monitoring rate and availability exceptions

Daxko Engage Initiatives Updates – Email Previewer

Email Previewer

With this release, Daxko Engage Managers and Administrators can now preview emails with a single click when viewing completed and cancelled initiatives. Good news! You no longer need to copy a completed initiative to see the email used in that initiative.

To preview an email in a completed or cancelled initiative, simply navigate to the initiative and select the email subject line. The email previewer will display desktop and mobile formats.

 

Simpler Task Assignment

When establishing task assignments as part of the initiative creation process (“Define Workflow”), Managers and Administrators can now quickly find users and teams with a typeahead search bar, rather than scrolling through a list of users.

Improved Email Analytics Reporting

We know email stats are crucial for marketers. This Daxko Engage release fixes an issue that occasionally caused initiative email analytics to appear out of order on the Email Analytics Report. Now, the most recent initiative will appear at the top of the list.

Staff Notification: Small Changes to Daxko Operations

This release contains enhancement requests submitted by users and a few small changes from the Daxko Operations team. Here’s an overview of the changes that you may want to make staff aware of:

  • Branch ID added to Shift Close Outs
  • Clarifying Language added to Corporate Portal Email
  • New Custom Reports Data Source for Facility Usage – Point-in-Time Demographics
  • Change Password button added to Member Details

Authorized Pickups are now Centralized!

Having confidence and security that you are releasing children to the appropriate adult is vital for your organization. It offers your members comfort and keeps your staff safe. We are excited to bring a wonderful solution to all associations – a new centralized hub for authorized pickups!

How will Authorized Pickups work?

We have added a new page that may be accessed from a variety of places that will reflect in real-time the authorized pickups for any child in Daxko Operations. Staff may access authorized pickups through membership information, members may access authorized pickups in their online account, and authorized pickups will show during online and in house registrations. This will ensure that authorized pickups, once entered the first time, may be maintained and updated over time. This will eliminate the need for most associations to collect answers to questions repeatedly for registrations.

We will also offer associations the option of adding in authorized pickup selection as a step in the check in/check out process in the Daxko Attendance Tracker. We are soon adding authorized pickups to several existing reports and are excited for your feedback to know where we can make the most impact next!

This new feature will be accessed through a new permission. We want each association to have the opportunity to determine the best timing for rolling out this new option! For full documentation, access the User Guide.

Why was this solution so important to solve?

Like any team working toward an achievement, it is important to set a goal. Team Daxko rallied around solving a story we hear often from our associations: A member has recently experienced an unfortunate domestic situation and a child’s authorized pickup is no longer safe for him or her. That alone must be devastating for the member. The last thing the member needs to be concerned with is calling each and every camp counselor, child care director, swim instructor, and sports coach to tell the same personal story repeatedly in order to remove the authorized pickup.

By using our new authorized pickups solution, that member has the opportunity to make the change themselves or discuss it privately with one staff person. That is the level of care you want your members to feel, and we wanted to help provide the tools to make it a reality.

Reconciliation for Bank Deposits Returning to Prior Process

As you know, Daxko recently transitioned from Finastra (also known as BankServ) to ACH.com for EFT payment processing. With this migration, bank reconciliation for weekends has required more compiling than it did previously. This is due to a change in process to send separate batch files for Saturday and Sunday and Monday, even though there is only one deposit on Monday.

In order to return to a process similar to what existed prior to the migration, the Daxko Operations team will begin sending the Saturday and Sunday batches to the processor on Monday. This change in process will occur on July 1, 2019.

We hope this change will make it more straight-forward to reconcile your weekend deposits.

New! Initiative Wizard

When creating an initiative, the last thing any user wants is to lose his or her hard work due to a timeout or an interruption. With this week’s release, we will now assist users in saving your work along the way!

Initiative Wizard

Creating an initiative requires multiple steps. Previously, all of these steps appeared on one page, which did not allow users to save their work incrementally. This release introduces an all-new wizard format that guides Daxko Engage users step by step through each portion of initiative creation.

For each step, there will now be a Save and Continue button. Should a user need to perform a different task, the initiative will be preserved to the most recently saved step in the process.

Once the user is ready to resume the creation of the initiative, the user will navigate to the list of planning initiatives and select the name of their initiative to proceed.

Step One: Identify the Purpose

While step one includes the same set of fields, you will first notice the new Save and Continue button here. Once a user has added information to the required fields, this initiative may be saved and accessed at a later date.

Step Two: Select Group

Step Two now displays an approximate number of individuals in each group. Additionally, users now have the ability to quickly preview the group rules and, if the group was imported, view the details of the import process.

Step Three: Define Workflow

Defining the workflow of the initiative is typically the most time-consuming step. Users will continue to have the ability to add emails, tasks, and wait times.

Most initiatives require creative and detailed efforts in the Daxko Engage email editor. We know that losing any of that hard work can set back important projects for your team. Therefore, we will now save progress on step three, including the email editor, every three minutes to ensure that no work is lost along the way.

Step Four: Review

Step Four will now offer a full screen view of all of these details to more clearly lay out each portion of the initiative. Whether a user is previewing the email design or wanting to understand the estimated run time of an initiative, all of these details are easily accessible.

Updates for Custom Reports

This release contains an upgrade for custom reporting in Daxko Operations.

Today’s Release

The building of custom reports is getting an update! The new experience is more intuitive, without losing any existing functionality previously available to users. The highlights of the new look and feel include:

  • Full screen display
  • Improved text display
  • Quick access for primary actions
  • Visual indication of progress
  • New report templates

With these updates, please be reassured that scheduled subscriptions, user permissions, existing reports, and folder structure will not be lost. The custom reporting experience for Daxko Accounting will also be updated in June, along with an all new self-paced training for this new experience.

Introducing the Daxko Attendance Tracker

Your facility is busy! You need secure and accurate child care check in for your parents and your staff. Our team has created a new experience to empower your child care and camp staff.

What is the Attendance Tracker?

The Attendance Tracker is a responsive web application and is accessible from most recent versions of tablets. It is not an application for iOS and Android that needs to be downloaded. Creating this experience in this way allows us to provide updates and features while maintaining a simple and pleasing experience for staff and members alike.

The Attendance Tracker will not eliminate the Roll Call iOS application.

What will this experience include?

The new experience will include many new and exciting features that are not currently available in the Roll Call application. The list includes features such as:

  • Two Modes – Staff and Parent
  • Training site available for educating staff
  • Show both date of birth and age
  • Display rate plans for registrants
  • Check in by site across all programs
  • Include days selected for applicable registrants
