Changes to Transactions and Prospect Conversion

This release contains workflow and style changes to the Prospect Create Membership process, Transactions page, and Apply Adjustments page. While none of these are major changes, we know that staff members will need to be aware as the changes are noticeable and on frequently accessed pages. These changes will be available on Wednesday, October 2nd.

In This Release

Transactions now Responsive

The transactions page is one of the most often accessed pages in Daxko Operations. Prior to this release, the page was not responsive, meaning sizing changes to the viewing window by the user or imposed by the device would cut off information on the page. By implementing responsiveness to this page, a user on a tablet or mobile device would more readily have access to the full page.

Apply Adjustments now Responsive

With the above update to the transactions page, we have also updates the adjustments page to be responsive, as these pages pull in similar data and views.

Also, we made one functional change: users may no longer apply system credits from two places. By eliminating this capability from the adjustments page, users may now apply system credits through the make payment process. We are implementing this change to improve the training experience, as this previously caused confusion.

Prospect Conversion – New Workflow

In order to provide a consistent experience for our associations, the prospect convert to membership experience now uses the same workflow as a new join. While this improves the training experience for staff, it also allows associations to capture agreements by using our updated add membership process.

Additions to Child Care Third Party Reconciliation and Custom Reports

This release contains additions to custom reporting, an addition to third party child care reconciliation, and a new option for your corporate partners. These changes will be available on Wednesday, September 18th.

In This Release

Data Source Changes and Additions in Custom Reports

We are adding two new data sources in this release, and making a small change to an existing data source.

  • Child Care Registrations – This is an existing data source and with this release we are removing any registrations on a waitlist from this data source.
  • Child Care Waitlist Registrations – This is a new data source added with this release, and contains the exact same data columns as the above data source. Separating the registrations into two data sources allows users to report and communicate with registrants and their families based on the status of the registrant (on the roster vs on the waitlist)
  • Authorized Pickups – This is a new data source added with this release. This data source will include the member’s name tied to the authorized pickup, as well as the authorized pickup’s name, address, email, phone, date of birth, and relationship. This data source will join to the members data source for additional reporting options.

Rate Plans Showing in Organizations – Child Care Account Balance

The third party subsidy tool, which allows users to reconcile third party payments for child care with the organization providing the subsidy, now includes a column that displays the rate plan name.

Corporate Portal now allows Print Invoice

For those corporate partners that love the corporate portal, but still need to submit a manual payment, we now offer the ability for the organization to create an invoice from the corporate portal that can be attached to their manual payment.

Allow Admins to designate multiple branches for Standard Users in Daxko Mobile and more…

New Permission Assignments

We have heard from you, our Daxko Mobile partners, that you need more flexibility with the way you are able to assign staff to branches as standard users.

Other Items in this Release:

  • Adding Instagram as an option for Social Media
  • We fixed a defect that displayed the incorrect date on scheduled notifications, banners, and announcements.

The above changes will take effect on Tuesday, 9/17. To read all the details, check out the release notes.

New User Roles + More Initiative Details in Daxko Engage

Today’s Daxko Engage release includes new user role permissions, more initiative details, and a few other small fixes and enhancements. Read the full release details here.

New User Role Permissions

We have heard from our Daxko Engage partners that they need more flexibility with the permissions they give their staff:

“I want to allow my program directors to create initiatives for their departments, but I want someone else approving the initiatives before they launch.”

“I want more staff to have access to Daxko Engage reports and dashboards, but I do not want them having access to launching initiatives.”

As we previously announced, this release gives Daxko Engage Administrators the ability to more finely control which users on their team are able to launch, schedule, cancel or delete initiatives without limiting who can create initiatives or email templates.

  • The new “Marketing Manager” role has the ability to create, launch, schedule and delete initiatives.
  • The new “Manager” role has the ability to create initiatives and email templates – and has access to reports and dashboards – but does not have the ability to launch, schedule, or delete initiatives.

All active users in the “Manager” role now have the new “Marketing Manager” role. Any inactive users who had the previous “Manager” permission level now have the new “Manager” permission level.

More Initiative Details

In addition to the new roles, this release also provides you with more visibility into which users are launching, scheduling, and updating initiatives. We have added columns within the Initiatives tabs as well as additional details on View Initiative pages, where you’ll be able to see more information about which user launched that initiative and which user last updated it.

Other Items in this Release

  • We fixed a defect that prevented users from using a “wait” as Step 1 in an ongoing initiative.
  • We fixed a defect that displayed the incorrect year in the New Joins Retention Graph under Dashboards.

The above changes will take effect on Thursday, 9/5/2019. To read all the details, check out the release notes.

Coming Soon to Daxko Engage: New User Roles

New User Role Permissions in Daxko Engage

In an upcoming release in September, Daxko Engage Administrators will have the ability to more finely control which users on their team are able to launch, schedule, cancel or delete initiatives without limiting who can create initiatives or email templates.

Following the release, the new “Marketing Manager” role will have the ability to create, launch, schedule and delete initiatives. This role is ideal for those users on your team who own your overall marketing and communications strategy.

The new “Manager” role will have the ability to create initiatives and email templates – and has access to reports and dashboards – but no longer has the ability to launch, schedule, or delete initiatives. This role is designed for those users on your team who need to access reports and dashboards or who need to create initiatives for their department.

There is nothing you need to do to prepare for this release, but we wanted you to be aware of what the transition will look like. With the upcoming transition, all active users who have the “Manager” role now will be moved to the new “Marketing Manager” role. This means no active users will lose their permissions in Daxko Engage. Following the release, if you need to limit who can launch or cancel initiatives, Daxko Engage Administrators can use the new “Manager” role to do that. Any inactive users who have the current “Manager” permission level will have the new “Manager” permission level following the transition.

Stay tuned for more details about this soon in a future update.

New Attendance Data in Custom Reports

This release contains an addition to custom reporting in Daxko Operations and a clarification for Attendance Tracker functionality. These changes are scheduled to roll out on Wednesday, September 4th.

In This Release

New Attendance Data Source in Custom Reports

We are adding a data source named “Child Care Attendance” that will allow association to report on the check in and check out times of child care and camp participants for the last six months. This data source includes data entered through any of our attendance tools – Attendance Tracker, Attendance Dashboard, and Roll Call. When accessing the data source, users will be able to choose the following data:

  • Member ID
  • Site ID
  • Branch ID
  • Date
  • Check In Time
  • Check Out Time
  • Full Day or Partial Day (Before, After, Before & After)

Unique Phone Number for Attendance Tracker

For associations that are using the Authorized Pickups verification through the Attendance Tracker, the Parent Mode is now looking only at the phone number listed for each authorized pickup. This means that a parent who is also a member on the same membership as the participant will have one valid number to enter if a site is using Parent Mode. This is a consistent requests for associations that are require to have only one numerical identifier per pickup to meet licensing requirements.

  • Learn more about the Attendance Tracker HERE.
  • Learn more about Authorized Pickups HERE.
