Daxko Operations: Community Events in Training! 🎉

Community Events allows users to create, manage, and sell event tickets in one place. This training site release will enable Community Events in the Daxko Operations Training environment for all customers, with the live site release scheduled for October 25th.

Purchase Orders in Daxko Accounting Training Site and Dual E-Signatures

Purchase Orders (Training Site Only for Early Adopters)

In this release for Daxko Accounting we are VERY excited to introduce you to new Purchase Order functionality. These long awaited features will be released first in the training site to only a few clients. During this time in the training site, the Product and User Experience team will gather valuable feedback in preperation for future releases and to assess the timing of a release in the live site. Information related to enablement in your live site will be announced at a later date.

Current Purchase Order functionality includes

  • User permissions for creators (buyers) and approvers
  • Vendor record integration
  • “Bill To” default area
  • General Ledger Expense Account search
  • Document Storage Integration
  • Automatically calculated line item cost
  • GL restricted Approver list view
  • Approver overrides
  • E-Signature for up to 2 approvers

 

Dual E-Signatures for Check Printing

An enhancement to our previously release of E-Signatures for check printing is available to all clients with this feature enabled. Users can now apply up to two signatures on checks for printing. If you are interested in using this functionality, it is available to you at no cost. Simply contact our great support team support@daxko.com and let them know this is something you are interested in. User guide for E-Signatures found here.

Daxko Accounting – E-Signatures and Grant Management Updates

In Daxko Accounting release 22.3 we are happy to include new features to improve the logistics of your Accounting practices. Our increased focus on reducing inefficiencies and enhancing the product to match the digital experience you expect is reflected in this latest release.

The main focus of this release is the addition of E-Signatures and enabling Grant Management in your live site.

 

E-Signature

Using E-Signatures in Daxko Accounting allows you to electronically apply a user’s signature to checks for printing. A user with the correct permissions will be able to create an electronic signature and then assign permissions to other users to apply this signature to checks. Get started with the user guide here. Starting Thursday 6/23, reach out to support@daxko.com to see if your check template is supported and if you wish to have this feature enabled on your live site at no extra cost.

Grant Management Updates 

Grant Management Features are now available in your live site! See previous blog post for user guide and details here. We are excited to go down this road with you for your Grant Management lifecycle.

More Enhancements for Daxko Operations Submitted by You!

This release contains enhancement requests submitted by users through the Daxko Help Center! We love all of the great suggestions that are submitted to our product team. These changes will be available Wednesday, May 26th.

Reporting Enhancements in Daxko Accounting!

You have long asked for enhancements to reports in Daxko Accounting. We are happy to deliver some new features within our canned reports that allow you to better manage your business and report on your financials!

Daxko Accounting Release 21.4 includes the below enhancements for your reporting needs. This is only Phase 1, more enhancements are on their way!

  • Open and All Invoices Report – Addition of GL Account as filter and addition to report results
  • Open and All Invoices Report – Ability to Hide Columns
  • All Invoices Report – Sorting and Totaling Options
  • Open Invoices Report – Addition of Post Date as filter

Preferred Name and Semi-Private Scheduling

This week’s Daxko Operations release includes the preferred name functionality mentioned in our last release, as well as semi-private scheduling. Please review each of the enhancements below. This release will be available on Wednesday, February 17th.

 

Preferred Name

We know that associations often need the legal first name of a member for vital safety and security processes, but also wish to address each person by the most appropriate name. Many associations have requested this functionality, and in this release we are adding a value for preferred name to the Daxko Operations Live Site.

Preferred Name will be captured from the Membership Information page on the member tile. Additionally, members may update their preferred name online.

Once the preferred name is added, we will display this value in the following areas:

  • Rapid Check In
  • Check In
  • Online Member Account

We will be adding preferred name to essential locations throughout Daxko Operations in future releases. This includes areas such as rosters, reports, and search fields.

 

Semi-Private Scheduling

For Daxko Scheduling associations, you may now begin creating program packages for two person and small group personal training, sports lessons, private swim, etc. This is available for staff to book as well as members.

To indicate that a program package is available for a buddy or group to schedule, we have added a new setting on the Appointments step.

 

 

When a participant schedules a time for a package that has a buddy or group setting, the time and day selected will be locked down so that only participants with the same package will be able to book that day and time.

Updates to Schedule a Visit to link GroupEx PRO

Schedule a Visit Enhancements

This release contains additional enhancements for Schedule a Visit, directly meeting requests from many associations in the limited reopening phase.

The list of enhancements includes the following:

  • Ability to link to GroupEx PRO
  • Additional options for minimum duration
  • Top of the hour settings for Areas
  • Check Out from Membership Information

New Virtual Check-In Functionality

This release includes a way for associations to record virtual check-ins by barcode entry through each association’s website. This functionality is available to all associations on Wednesday, April 15th and should be tested on the Training Site prior to enabling the feature on the Live Site.

Recording Virtual Check-Ins 

While almost all facilities are currently closed for member fitness check-ins, all of you have pivoted masterfully to respond to the health and wellness needs fo your community through virtual content. We know that it is important to each of you to have an understanding of who is accessing that content, specifically in scenarios where virtual check-ins may allow for your association to be reimbursed (e.g. Silver and Fit; Silver Sneakers, etc).

For this reason, we have added a way for each association to enable a virtual area to allow for check-ins to be recorded. To learn more about this feature and how to get started, check out the User Guide.

This release contains exciting changes to Fundraising on your Daxko Operations Live Site! This includes the feature we released to your Training Site on February 20th as well as some incredible tools to assist you in this time of crisis.

New Facility Usage Report!

In light of recent concerns regarding COVID-19, the Daxko Operations team has added a new report to track facility usage. Additionally, we have postponed our roll out of extensive changes to donations so that associations may focus on assisting the communities around them. Details of this release are included below.

Facility Usage Comparison Report 

We have added a new report to compare facility usage from last year to this year. It is located in System Menu > Browse Reports > Member Information.

This report provides an Excel export that contains two tabs, one for the previous year and one for the current year to date. This report shows counts by day for facility usage check-ins only, excluding access denied attempts and area check-ins. The counts are separated by each branch and also by age group.

Donations Enhancements 

The changes announced on February 20th were originally slated for a release to the Live Site for all associations this week. However, we know that many of you are heavily focused on supporting your communities and staff members during this time. For this reason, we will be delaying the release for a later date and will communicate the date when it is selected. However, if your association is prepared to roll out these changes to your Live Site now, you may contact support@daxko.com and we will add the changes to your Live Site.

All associations will continue to have access to the donations enhancements on the Training Site, including several requests from many of you added with tonight’s release (ability to add a unit from an online donation, easier path for payroll deduct, etc).

COVID-19 Research

Several associations have reached out to request assistance with two main items: skipping the April membership draft should facilities be closed and canceling child care registrations by instance for weeks when child care facilities are closed.

We are able to place all members for an associations on hold for April for associations that submit a request to our Support Team. This request must be received a week prior to the draft in order for our teams to process the change. This will function like the manual action of placing a membership on hold, but will do so en masse.

We are currently exploring a new tool for child care that would allow an association to select one or more programs in the child care tab, select an instance start date, and cancel registrations en masse. Should we have an update, we will make sure each association is aware of our progress and timeline for this solution.
