New Member Account available on Training this Thursday

The Daxko Operations Training Site will include the new Online Member Account on Thursday, November 19th! This experience will roll out to your members on December 9th and we want all of you to have time to review the new experience.
We are also releasing one notable change to your Daxko Operations Live Site tomorrow, Wednesday November 18th: joins without fees due today will still capture a billing method if the membership type is set to auto-renew.

Live Site Enhancement – Wednesday, November 18th

With so many associations using our new Membership Promotion feature in Daxko Operations, we found that memberships that do not owe anything at the time of an online join were not asked for a billing method for future dues. With Wednesday’s release, any membership set to Auto-Renew (unless Term is set to None) will require a billing method online and will ask for a billing method in house.

This does include memberships with a recurring rate of $0, either at the membership type or as a result of a discount group. The in house step for adding the billing method is optional, specifically for those scenarios where the joining member does not have a billing method to share.

New Member Online Account Training Site – Thursday, November 19th

One of the first experiences members have with your association is the online member account, and we want that experience to be great! Our team released a much-improved login experience earlier this year, and we are now preparing to release a new My Account experience to your members. Prior to the release to members, we want to give users an early sneak peek.

The new Online Member Account includes the following:

  • A mobile-first design for easy use on mobile devices
  • A more clear billing method update for recurring payments
  • Clear sections for My Account to help the member take actions

Some of our future planned enhancements for 2021 include:

  • Member facility usage report

Test Drive Program Package Scheduling

On Wednesday, November 11th we will add a major feature to the Daxko Operations Training Site for all associations to try it out: Scheduling Program Packages! We also have several enhancements to Document Storage and an important new setting for Virtual Areas that we will be adding to your Live Site.

 

Schedule Program Packages – Training Site Access

We know that associations need an efficient way to register, schedule, and manage programs sold by a specific quantity, including personal training, private swim, and sports lessons. Daxko Operations offers Program Package functionality to all associations, which allows the registration and redemption management. However, new Daxko Scheduling will soon allow all associations who have signed up to cohesively provide scheduling in a fully integrated experience for members, trainers/coaches, and program managers.

In order to make sure all associations have the opportunity to try out this new feature, we have extended the functionality to your Training Site until Sunday, February 21st.

This feature includes:

  • Instructor Schedules
  • Association Calendar for all Scheduled Items
  • Clear email communication to members
  • Staff scheduling capabilities
  • Purchase and schedule in one workflow
  • Mobile-first experience for members

Live Site Enhancements

With this release, we will be adding enhancements for Document Storage based on the valuable feedback each association has provided. We already have over fifty associations who have either launched or will launch in the near future. Each association will immediately receive access to these enhancements on their association’s live site.

This includes:

  • Document Storage permissions split by module
  • Document Storage permission separated for View vs Upload
  • Ability to designate a Document Type as Staff-facing Only

We have also included one important new setting to Virtual Areas to meet the needs of several associations that are creatively gating the association’s virtual content. The new setting for each area will allow users to indicate if an attempt to access content should be denied if the membership has a balance due. Note: Associations will not need to generate a new Secret for this setting to take effect.

New! Document Storage in Daxko Accounting

In our September 30th webinar we had the opportunity to share about the new Document Storage feature available in Daxko Operations and Daxko Accounting. This release includes document storage for journal entries for associations who now have access to document storage in Daxko Accounting.

Prospecting + Email Verification Updates

This week’s release, available to all associations on Wednesday, September 30th, contains updates to two existing areas of Daxko Operations: Prospecting and Email Verification.

Prospecting

As more and more associations use new Daxko Operations prospecting features, we have received excellent feedback around ways to improve how your team interacts with prospects and reports on prospect conversions. The new experience includes the following updates:

  • Duplicate check for online joins
  • Tour status updates
  • Updating branch to match tour guide
  • Clarifications & additions to the prospect conversion report

Email Verification

In last week’s release, we added important new functionality that allows associations to verify email addresses. This release contains updates to the remaining email entry points in Daxko Operations, including Add Membership, Renew Membership, Add Member, Edit Member, and Activate Member. Two additional enhancements will also be released:

  • Unverified email addresses will trigger a pop-up when a member logs in to the online account. This pop-up will ask the member to verify the email address on file using email interaction for confirmation.
  • Every twelve months a message will pop-up when a member navigates to My Account asking the member to verify the email address on the file is the best email for communication.

Date Filter for Email Analytics + More

This Daxko Engage release contains a few feature enhancements, plus some minor maintenance items and bug fixes.

Date Filter for Email Analytics
Viewing your email stats just got a little simpler. With this release, Daxko Engage users with access to Email Analytics can now filter this report by date range. Use this filter to view specific initiative metrics, track trends for a specific period of time, and measure progress.

The filter is based upon the email send date, not the initiative launch date. Keep in mind that emails may be sending regularly for ongoing initiatives your organization launched many weeks or months ago.

 

Prospect Notes in “What’s Going On?” Tab
We recently added prospects into Daxko Engage and gave users the ability to log notes about prospects. With this release, you’ll now see notes about prospects within the “What’s Going On?” tab visible from the home screen.

New Holds and Terminations Workflow + Email Verification

This week’s release, available to all associations on Wednesday, September 16th, contains two important updates to your Daxko Operations Live Site. The first is a release we added to the training site on September 2nd that we are now moving to your Live Site – an all new holds and terminations workflow to assist users and members with vital decisions at the point of a hold or termination. The second is the very first release of new email validation in Daxko Operations to ensure that you are making the most of your emails to your members.

Holds and Terminations

With an increase in the frequency of requested holds and terminations and a greater need for staff efficiency, we have created a new step-by-step format in order to improve the overall holds and terminations process.

This new experience includes:

  • Ability to extend a hold
  • Step by step workflow
  • Ability to write off and adjust overdue balances
  • Removal of scheduled payments from the pending batch for both Holds and Terminations
  • Finalize step with a summary of changes

Email Verification

We know that email accuracy is critical for your association to remain in close contact with your membership base. While Daxko Operations captures emails throughout, we are now adding a new verification status to every email address. This status will track the confirmation that an email address has been verified through a series of releases, beginning with this release.

One important thing to note is that this release will not affect any existing system emails, such as confirmation emails. To see all of the details, check out the User Guide.

This release to the Training Site contains requested updates to the Holds and Terminations experience! This release will be added to your Live Site on Wednesday, September 16th. This new experience includes:

This release also includes a small change to user permissions related to prospecting. The “Manage Forms” permission is now called “Manage Forms and Events”. The change gives only those users with this permission the ability to add, edit, or archive events used for prospects and prospect forms.

Prospect Texting

Engage with your prospects through SMS texting! Last month, we released new prospect group rules with Daxko Engage. Now, include text messages in the initiatives you create to engage prospects.

Send Texts to Prospects through Initiatives

Text messaging is a great way to connect with your prospects. Send a quick message thanking them for their visit, or follow up with additional information about joining your community.

With this release, initiatives that engage prospects can include text message steps. Simply select the “Add Text” and create your message.

Manage Prospect Text Preferences

As with any text messaging campaign, it’s important to only message people who have opted in to receive texts. We have made it simple to manage opt-in preferences with Daxko Operations, much as you can with members today.

There are four ways to facilitate text opt ins for prospects:

  1. Prospect Forms
  2. Adding Prospects in Daxko Operations
  3. Prospect Profile in Daxko Operations
  4. Text to opt in for Prospects

Text Preferences in Daxko Engage

Text preferences are managed in Daxko Operations, but you can view a prospect’s text opt-in status on her profile in Daxko Engage. With this release, you’ll also have access to new Group Rules for prospect communication preferences. Segment your prospects using rules for the “Allow SMS” opt-in statuses in Daxko Operations.

Prospect Notes, Texting Updates + New Email Editor Content Option

This week’s Daxko Engage release includes another update to improve how your team engages with prospects. Plus, a minor change to the way we handle SMS opt ins, a new email content option, and a few other small fixes.

Prospecting Updates: Notes

Now you can log notes pertaining to prospects. These notes will be displayed as part of the prospect profile in Daxko Engage as well as in Daxko Operations.

Text Messaging Opt Ins

Prior to this release, Daxko Engage would occasionally process multiple SMS opt ins for members who share the same primary phone number. This meant that when confirming an opt-in request, we would send multiple messages. With this release, when we receive an opt-in request, we will opt in every member who has that primary phone number and send only one confirmation message.

New “Menu” Content in Email Editor

With this release, we have enabled a new content option for the email editor. If you want to add a simple, text-based link element, use Menu block available in the content tab.

Additional Features & Fixes

This release also includes a small fix for initiative exports:

  • Exports of “Emails Sent” in Initiatives: now, when users export a list of people who were sent an email as part of an initiative, the csv includes a new column, Recipient Email, which displays the email address that received the email. This is helpful for instances when an email is sent to a unit primary instead of a child 16 or younger.
