Enhanced Member Search in Live Sites

Last month, we released the improved member search page to Training sites so your team could begin getting used to the minor changes. Member search will now include a new “Any” search option that allows you to search across all methods at once. This should improve efficiency and reduce instances of empty search results. Since the Training site release, we’ve been receiving great feedback, and we’re excited to release the new experience to Live sites with this release.

Scheduling Area Rentals Enhancements: Online and Recurring Rentals

Organizations that offer facility rentals need quick and easy ways to allow their members and staff to create and manage these valuable services. With this release, your organization can allow members to create and pay for a rental online, and your staff can create recurring rentals. Plus, we’ve made it easier for your staff to find out what’s happening at your facility by consolidating the scheduling calendars in a single calendar with new views and filters.

Also, as the Scheduling capabilities have grown within Daxko Operations, we want to make it simpler for users to see what’s taking place at a branch at a particular time. In support of that, with this release we have consolidated the previously separate views Main Calendar, Resource Calendar, and Area Calendar in a single calendar available under the Appointments module. On this simplified calendar, users can now select tabs (Branch, Instructors, and Areas) and use filters depending on the scheduling information they’re looking for.

GroupEx PRO Integration Enhancements

In case you missed it last year, Daxko Operations is now integrated with GroupEx PRO, making the group exercise experience even smoother! Check out the integration setup guide here.

This Daxko Operations release includes a few enhancements to this integration:

  1. “On-hold” memberships are no longer able to reserve classes. “On-hold” statuses behave just like inactive memberships and cannot be reserved into GXP classes through the integration.
  2. Simplified workflows when linking Branches & Locations. Users will now see a “Check for Matches” button on the Integration Settings page to quickly and easily link Operations Branches with GXP Locations of the same naming convention.
  3. Administrators can now quickly and easily add GXP Instructors directly into Operations with the push a button.

Scheduling Orientations at Other Branches

When know it’s not uncommon for members to join one location but frequent another based on where they live or work. Because of that, new members might prefer to have their orientation at a branch other than their home branch. With this release, organizations offering orientations through Daxko Scheduling can now allow members to book an orientation a branch other than their home branch. For both the online and in-house orientation scheduling, users will by default see orientations offered at their home branch but will be able to choose another branch to see orientations offered elsewhere. The system will still enforce the Membership Categories settings for a particular orientation service, so that members will not be able to schedule an orientation their membership isn’t eligible for.


Fundraising Designation Updates

Fundraising designations allow donors to choose how and where their donation dollars are used by your organization. In Daxko Operations, staff users can still create as many designations as needed, however we’ve learned from users that over time the list of designations could be difficult to maintain since there was not a way to archive outdated, unused designations. This release includes new steps for creating designations and archiving any unused designations. Read this user guide here.


Digital Analytics: 2023 Migration to Google Analytics 4 (GA4)

As many organizations already know, Google recently introduced Google Analytics 4 (GA4), their next-generation digital analytics tracking features. On July 1, 2023, Google will stop processing new data for standard Universal Analytics (UA) properties. Organizations using Daxko Operations’ Digital Analytics features for cross-domain tracking, enhanced e-commerce, and other campaign goals are required to migrate from Universal Analytics to Google Analytics 4 in order to continue capturing data. If you rely on Universal Analytics, Google is recommending that you prepare to use Google Analytics 4 going forward so that you do not have a lapse in tracking data.

In order to ensure a smooth transition, our engineers have been working on the necessary updates in Daxko Operations to accommodate GA4 data tracking. Review our updated Digital Analytics documentation here.

Improved Member Search – Available for Testing in Training Sites

The ability to efficiently search for and locate members is essential to many common tasks within Operations. With this in mind — and thanks to valuable user feedback — we have continued to improve the usability and capabilities of the member search page. We’re very excited to announce a new “Any” search option that allows you to search across all methods at once! This should improve efficiency and reduce instances of empty search results.

Read the Training site user guide here for the full details. The enhanced search experience will be available for all organizations in your Training Site on January 18, 2023 and is planned for Live Sites in early February.

Need help accessing your Daxko Operations Training site?

You can think of the Training site as a “sandbox” environment for your team to test functionality and train team members. The site is a copy of your Live site and can be accessed by logging in here: https://operations-train.daxko.com/  Users can log in with their Live site username and password.


Event Log Entries for Prospects

Digging into Prospect details and activity just got a little easier. Now, users can view Prospect Added and Prospect Updated events in the Event Log, with descriptions that include more information about that prospect. Note that the “Unit Name” column will be blank, and instead the prospect name will be noted in the “Description” column.

Digital Analytics: 2023 Migration to Google Analytics 4 (GA4)

Daxko Operations: The GroupEx PRO Integration is Here!

This release, our last major release of 2022 for Daxko Operations, includes an exciting new integration with GroupEx PRO, creating a seamless experience for members searching, selecting, and managing their group exercise participation. Associations using GroupEx PRO now have the tools needed to vastly streamline the member experience. See below for the full user guide and other resources to help your team to make the most of this integration.

In addition to this, we also have a few new features and enhancements to fundraising and programs included with this release. Check those out below!

GroupEx PRO + Daxko Operations Integration

We know your team needs to own the end-to-end member experience. Through the new Daxko Operations and GroupEx PRO (GXP) integration, you can now provide members with a single set of login credentials for all areas of your online member experience.

When this integration is live, active members will use their Daxko Operations online account credentials to book GXP class reservations through your website, Daxko Mobile or Community Connect member apps alongside Program Registrations and other activities they manage through their online account.

Plus, Welcome Center or Front Desk staff will also be able to view, edit, cancel, and reserve GXP classes for active members from inside of Daxko Operations. Our team is thrilled to provide this integration, and we hope your team is excited to provide this for your members!

Other Enhancements and Updates

Pledge Amount Summary: Unit Level Giving History

This release includes updates to the Fundraising Pledge Amount Summary Report. The report features a new page design as well as new group by unit functionality. Now staff users can easily access any pledges tied to the same membership unit for a specific campaign or date range. Check out the user guide here.

Q&A Rosters for Program Packages

Previously, only standard programs and childcare programs provided a summary of participant Q&A responses in this format. Now, users can easily download and view Q&A responses for package programs as well. Check out the user guide here.

Online Program Registration – View Full or Waitlisted Programs

This release includes new labels that will be displayed for standard programs and camp programs with sessions that are full or sessions with a waiting list. Now, when members browse for a program online, they can easily identify which programs have capacity or a waiting list.

  • The Full label will be visible when all segments in the program are full and there is not a waiting list enabled.
  • The Waiting List label will be visible when all segments in a program are full and there is at least one segment with a waiting list.
  • No label will show if at least one segment in a program has spots available.

Note: the new labels will not display for child care programs due to more complicated scenarios with traditional child care programs and rate plans.

Daxko Operations: New Pre-Approved Membership Discounts and More!

Holiday season promotions, here we come! With this Daxko Operations release, we’re excited to introduce a new feature that will allow membership staff to set up win-back campaigns and other membership drives that target specific former memberships.

In addition, the release also includes enhancements that have come directly from recent user requests. Read below for more details about some iterations to the new Membership Information design released a few months ago.

These items will be available in Training sites and Live sites for all associations on Wednesday, November 9.


Membership Discount Pre-Approvals

With Black Friday and Cyber Monday approaching, we know associations have been planning end-of-year membership drives. With this new feature for membership discount pre-approvals, membership staff will be able to more easily win back former memberships through specific promotional codes.  

With this feature, users will create a promotional discount group that requires a code. Then, users will have the ability to select individual memberships or bulk import memberships that are pre-approved to be eligible for the discount. Finally, use a communication tool like Daxko Engage to contact the list of pre-approved memberships. From there, former members can rejoin online using their promotional code.

Read the user guide here. We recommend first testing this new functionality in your Training sites so you can become familiar with the steps. We hope the features make win-back campaigns a little smoother. We’d love to continue enhancing this experience, so please share your feedback with us!


Design & Usability Updates | Membership Information 

Following recent design updates we made to many commonly used pages in Daxko Operations, we’re continuing to listen to user feedback and introduce iterative changes in order to make these pages more and more user friendly. We know some of these changes have had an impact on your processes and workflows, and we appreciate your flexibility through these updates. We also appreciate learning more from you about ways we can make your processes smoother. As part of that, we wanted to share a couple changes coming to the Membership Information page:

  • Member sorting order on Membership Information: When we previously updated the member sorting order, we ordered active and inactive members by name. Thanks to additional feedback from users, we will be changing the sorting order to use member age instead, with the active older members displaying first, followed by inactive members on the membership unit.

  • Additional links added to Membership Information drop down buttons: With our earlier design updates to the Membership Information page, we eliminated redundant buttons and links in order to simplify the page. Although this was effective in presenting a clean and consistent interface as well as orienting users to the new design, we have learned that some of the page locations aren’t intuitive to all users. Because of that, we have added each of the membership options from the top left into their respective dropdown category button as well. With this change, there will always be one place to find anything you’re looking for!

Daxko Operations: Prospecting Enhancements

This Daxko Operations release includes a few exciting enhancements to prospecting, including better ways to capture prospect interests and new prospect conversion metrics.

Prospecting Enhancements

Knowing what prospective members are interested in can be a helpful way to follow up with them. Now, users can collect prospect interests through prospect forms.

In addition, staff users can now track prospect conversion metrics over a selected time period. To find the report, navigate to the System Menu > Browse Reports > Prospect Conversion.

Other Items

In addition to some maintenance items, this release also includes an update to the way childcare program registration days display in a member’s online account and no longer requiring a campaigner when assigning gifts from ‘Manage Online Donations’.

  • Display days of childcare programs online

Now parents can see the days their child will attend the program when viewing the registration details online. To view the childcare registration details, navigate to My Account > Registrations > select ‘View Details’.

  •  New optional “Campaigner” selection from Manage Online Donations

Daxko Operations: Exciting Fundraising Updates! Plus, New Online Membership Settings

We have a very exciting new fundraising feature to announce with this release. We’re introducing a delete pledge feature to give users a better way to handle pledges entered in error or pledges that otherwise needed to be removed. Say goodbye to the “correction campaigns”! In addition, this release also includes a few other enhancements to the online fundraising experience.

Finally, we’re also updating online membership settings to allow for greater customization when adding or editing members online. Read more below for how your team can take advantage of these new capabilities for members managing their account online.


Fundraising Enhancements

Delete Pledges Made in Error

Users of the Daxko Operations fundraising module will know that historically we have not provided a smooth way to handle pledges entered in error or pledges that otherwise needed to be removed from a donor record. With this release, we’re introducing a delete pledge feature! Learn more in the full user guide here.

Other Fundraising Enhancements

  • Collect Donor Addresses Online: Collecting accurate donor information helps your team steward and engage donors into the future. With this release we have added a new campaign level setting to require donor address online.
  • Display Campaign Descriptions Online: Help grow your online giving by sharing your campaigns mission by adding campaign descriptions online. This release allows users to create and display a campaign description for all or some of their online campaigns. Learn more here.
  • Donation Summary Updates: The donor history page was recently updated as a part of the new Daxko DNA. With these changes we consolidated and removed some tabs from the donor history. In this release, we have added a new donation summary dashboard to give staff a complete view of the donors past giving history.

Updates to Online Membership Settings

We’re always looking to enhance the online member experience to ensure that Daxko Operations provides a flexible and accommodating set of features. Associations who allow members to manage aspects of their membership through their online account now have new options for adding and managing additional members.

Thanks to feedback from associations, we have separated the Manage Additional Members setting into two distinct settings: Add Additional Members and Edit Additional Members.

Page updates: New Design DNA

We have updated the filters and design of three more pages: the Prospect Conversion Report, Expiring Discount Groups, and the Credit Card Process AVS Summary. The functionality of these reports and the data displayed have not been changed.

Event log for deleting prospects

Last year, we added the ability for staff members with appropriate permissions to delete prospects from Daxko Operations. This action cannot be undone. With this release, we have added an Event Log entry for this action so you can see who deleted a prospect and when.

  • Event name: “Prospect Deleted”
  • Event description: “[Prospect name] was deleted”

Design Updates to Membership Information – Now in Live sites!

With the previous release, we introduced the updated Membership Information page in Training sites so that users could begin familiarizing themselves with the changes. With this release, the updates will take effect in Live sites.

While there have been no significant changes to the functionality on this page and no features have been removed, some items have been rearranged to make the experience more user friendly. We understand that any time something in the software changes it could interrupt workflows, so be sure to review the user guide here or check out this quick video. We appreciate your patience and hope that we have provided the resources needed to help your team make a smooth transition to Daxko’s new DNA.

We understand that collecting donations is an integral part of your organization’s mission. With the Live site release of Donations During Checkout, Daxko Operations users who allow online program or childcare registration can now request and accept donations during checkout online.

Updates to Guest Check In Experience

We introduced the guest check in experience last year. As more and more associations have used this feature, we’ve heard feedback that guest check ins needed to be more distinct from standard facility check ins. To correct that, we have updated the color for the tile and heading in order to help users see at a glance who’s checking in as a guest.

Authorized Pickups added to Registration Summary

Authorized Pickups is an easy way to manage pickup information for child care and camp participants. This release includes the addition of Authorized Pickup information to the Registration Summary.

Export Member List from New Monthly Add-ons

Associations using new Monthly Add-ons (available in Training sites for everyone) now have a way to export a list of members who have a particular add-on for reporting and tracking purposes. To do so, navigate to the Fee / Adjustment Setup page from the System Menu. Then, under the Monthly Add-ons tab, select a link in the “# Members” column. From the Monthly Add-on Unit List, there is now a Download option.

Longer Program Session Descriptions

To accommodate longer program session descriptions, the Description text box on step 1. General Information for standard programs can now include up to 2000 characters. Previously, the limit was 1000.

Comments Section in Prospect Forms 

Prospect web forms were introduced in 2020, and they allow users to create simple forms for collecting prospective member leads directly into Daxko Operations. This release includes a new optional field for additional notes and comments. These comments are then visible on the prospect profile.

We understand that collecting donations is an integral part of your organization’s mission. With the release of Donations During Checkout, Daxko Operations users who allow online program or childcare registration can now request and accept donations during checkout online.

We want you to be able to see every aspect of your member, participant, or donor experiences. This includes the emails they would receive. In the Training site, any email addresses that are listed on a member or branch page will be automatically changed to “test@test.com” to ensure no emails are erroneously sent to members, participants, donors, or users. Feel free to put your personal or professional email into the site to test any emails sent by the system.

Daxko Dashboards Update

This release also includes an update to Daxko Dashboards. Membership Category has been added as a filter to the Membership Activity Dashboard within Daxko Operations. The Membership Category Filter will allow users to limit the membership types available within the Membership Type filter. This filter will make it significantly easier to see membership activity for association’s designed membership categories or membership types.
